Disability Services privacy information

Information about disability is considered sensitive personal data under data protection legislation. Any details that you share with us will be stored and processed accordingly.

The following information should be read in conjunction with the Disability Services student privacy notice (Word doc) and What we do with your data guide (Word doc).

Confidentiality

  • Disability Services uses your personal information to enable you to access academic-related disability support while you are studying at Leeds.
  • With your consent, we collect certain medical and diagnostic information from you, so that our team can support you effectively. Establishing support may require liaising with a range of people within and outside the University.
  • When you first register with Disability Services, we will ask for your consent to share key information with academic and University staff, and certain agencies outside the University. You can find a full list in the Disability Services student privacy notice (Word doc). Beyond that initial level of consent, we will always ask you before sharing any information about you with staff, professionals or external agencies that are not explicitly mentioned in the Disability Services student privacy notice (Word doc). We always ask that the people we share your information with respect your confidentiality and follow data legislation principles.
  • We will not share information or speak to your parents/guardian or supporters about you without your explicit permission. There is a separate process for managing this consent.
  • In certain exceptional circumstances, such as where there is an immediate and serious threat to your personal safety, or the safety of others, we may disclose your information without your consent.

Your data

  • We store your details and communications in a secure database in order to manage your information and provide support. This database is only accessible to certain members of Disability Services and cannot be viewed by anyone outside Disability Services. We share only limited information with those areas of the University which need it to be able to support you. You can find further information about this in the What we do with your data guide (Word doc).
  • We retain your record for as long as you use the Service and your data is deleted six years after you have left Leeds, in accordance with data laws. Data on applicants, general enquirers and offer holders who do not attend the University of Leeds are held for one year from the last date of contact.
