Study abroad agreement
This agreement explains the actions and responsibilities you, your school and the Study Abroad team agree to.
Make sure you understand, and are happy to do, everything in it.
The agreement applies to students going abroad on an exchange organised by the Study Abroad team.
Student responsibilities
- Submit your study abroad application based on your intent to travel. Withdrawn places cannot be reallocated later.
- Keep an eye on your University of Leeds email for updates from the Study Abroad team throughout the application process and your time abroad.
- Stay proactive with the application process and meet all deadlines.
- Quickly reply to any requests for information or documents.
- Ensure all application forms are filled out correctly before submission.
- Participate in all briefing sessions, including the mandatory Placement Abroad Essentials briefing.
- Use available resources to investigate and secure accommodation overseas.
- Inform the team of any disabilities or health issues as early as possible for appropriate support.
- Look into your host university to ensure their academic offerings align with your interests.
- Be aware that partner institutions may not provide the same level of support as Leeds.
- Familiarise yourself with the academic expectations for your year abroad before you leave.
- Be clear about fees, funding, and any emergency funds you may need.
- Notify the Study Abroad team of any issues that could impact your application.
- Ensure you have all required travel documents, such as visas.
- You are responsible for paying any fees to your host university. Leeds will not cover these costs.
- Understand your insurance coverage and any additional requirements.
- Submit a satisfactory risk awareness form prior to travel.
- Keep up with the latest travel guidance and entry requirements for your destination.
- Adhere to University of Leeds travel guidelines and restrictions.
- Maintain communication with the Study Abroad team and your school while abroad.
- Share your experiences when requested.
- Submit any required end-of-year documents to the Study Abroad team.
- Understand that you cannot change your allocated study abroad destination.
- Conduct yourself respectfully and responsibly towards staff and students, following the University’s Learning and Teaching Partnership Agreement.
Study Abroad team responsibilities
- Contact you via your University of Leeds email.
- Offer advice on the application process for your host university.
- Provide relevant details about your host institution.
- Share guidance tailored to your destination.
- Assist you in finding accommodation overseas.
- Host sessions to help you prepare for your year abroad.
- Offer ongoing assistance and guidance during your time abroad.
- Handle your personal information according to the University’s Data Protection policies.
- Communicate with family members only if you’ve given written consent.
School responsibilities
- Guide you on academic matters before and during your time abroad.
- Confirm that your chosen modules are suitable during the application and registration process.
- Provide support for your studies while you’re abroad.
- Offer pastoral care if needed during your time away.
- Provide information about how your year abroad will be assessed.
