This is the video guide to online registration at the University of Leeds. 

I’ll walk you through each step of the process so that you can correctly fill out each part of the online registration form. 

If you need help with any part of the registration process, including difficulties accessing the system, you can contact the Student Information Service by email or telephone, or you can speak to them in person for one-to-one support. You can find their contact details by clicking the link in the description of this video or by scanning the QR code on screen now. 

This video has been divided into chapters, so if you have already started online registration and are having trouble with a particular step, you can skip straight to the relevant section. 

Registration Checklist 

You can find the registration form in Student Services. There are links to Student Services on Minerva and on the ‘How to Register’ page of our website. You can also access it directly at studentservices.leeds.ac.uk. 

Once you are logged into Student Services, you will start on the Home tab. There is a Registration link just below the page title. You can also find another link to the same page on the Registration and Student Records tab. 

Both links will take you to the Registration Checklist. At the bottom of this screen there are links to each of the seven steps of online registration. 

Next to each is a numbered bubble, which will be replaced with a green tick mark as each step is completed. This allows you to track your progress through the form if you need to complete it across multiple sessions. 

You do not have to complete the steps in order, but Step 5 must be done before Step 6, or you will encounter an error. You must also complete the first six steps before you will be able to complete Step 7. 

We’ll complete the steps in order, just to keep things simple. 

Step 1: Personal Details 1 

On this screen, you’ll be asked to confirm some basic details like your name and nationality. 

Your family name, first name, middle name, and legal name should all be complete and match your passport or other official documents. 

If you prefer to go by a nickname, middle name, or anything other than your legal first name, there is also a preferred name field where you can enter this. This name will appear on Minerva, your University email, and other systems. 

Your final degree certificate will show your full legal name. 

This screen also asks whether you would like to register to vote in Leeds. UK citizens can vote in local and national elections, and some citizens of the EU and the British Commonwealth can vote in local elections. You can find more information on the Electoral Commission’s website. If you are not eligible to vote in any UK elections, please ignore this question. 

Lastly, this screen asks if you are a parent or carer. You count as a parent if you are an adult who is responsible for the care and wellbeing of a child under the age of 18. You count as a carer if you provide regular unpaid support to a person who needs extra assistance due to a disability or medical issue. 

Step 2: Personal Details 2 

On this screen, you’ll be asked equality monitoring questions. This includes questions about any disabilities you might have. The answers you provide here will be used by the Disability Services team to work out what kind of support you might need. 

If you don’t wish to tell us about any disabilities, or if you wish to tell us about just one, you can select the corresponding option from the dropdown menu at the top of the disability section of the page. If you have two or more disabilities you wish to tell us about, please select ‘Multiple disabilities’ from the dropdown menu, and then indicate what these are using the checkboxes at the bottom of the disability section. You should only use these checkboxes if you have selected ‘Multiple disabilities’. Using them with any other option from the dropdown, or ticking fewer than two while reporting multiple disabilities, will cause an error, and you won’t be able to complete this step. 

Step 3: Address Details 

In this section, you can confirm your contact details. 

You’ll be asked to provide your permanent home address, your term time address, and full contact details for your emergency contact, in that order. 

The form you need to fill out for each of these looks quite similar, so keep an eye on the title at the top of the page. As long as it changes each time you click ‘Continue’, you are making progress through the form. 

Each address must have a Valid From Date, which goes in the small field at the top of the address block. If you are entering new information, this date cannot be earlier than the date you are filling out the form. Even if you moved into that address much earlier, it’s fine to use the current date. 

If a Valid From Date in the future is used, the address won’t be active on our system until that date arrives. You also won’t be able to see or update that address through Student Services, as it only displays your current addresses. For this reason, please make sure not to list the date you plan to move out of the address as the Valid From Date. If you need proof of registration, such as a bank letter, you must have a current term time address before we can provide it. 

Each address also needs at least one phone number. You must provide a main contact number, including area and country codes, in the top row of the Phone Numbers section. If you have other phone numbers for the same address, you can select what type from one of the dropdown menus below that, and enter the corresponding number in the field to the left of the dropdown. You don’t need to say what kind of number your main contact number is. 

For international students who have come to the UK to study at Leeds, your permanent home address should be your address in the country you were living in before coming to the UK. 

If you are going to be staying in University-managed accommodation, your term time address should be prepopulated with the correct details. 

If you do not yet know where you will be living during your studies, you should leave the address section blank. However, you must still provide a phone number in order to continue. 

Emergency contact information must include a name and phone number for your emergency contact, as well as their relationship to you. You cannot be your own emergency contact. 

Once you have entered all three addresses, click the checkbox in the bottom lefthand corner of the next screen, and then click ‘Continue’. 

Step 4: Sports Membership 

On this page, you’ll find information about membership at the Edge, the University’s sport and fitness complex. 

There is a question about whether you have bought a membership or intend to do so. You are not making a commitment one way or the other when you answer this question. If you do want to buy a membership, you must do so through the Edge’s website. There are many links to this site on this page, but the easiest to find are on the right-hand side of the grey textbox in the centre of the screen. 

There is also information about Great Food at Leeds, the catering service on campus. There are no questions to answer in relation to this. 

Step 5: Programme Details 

On this screen, you’ll be asked to confirm your course details. You’ll find information drawn from your student record already showing. All you need to do is check that the details shown are correct. 

Be especially sure that your programme and year of study are showing correctly. If everything looks correct, just click the checkbox in the bottom left corner of the page, and you will be able to continue to the next step. 

You cannot make any changes to the information on this page, so if it is wrong, save your progress and log out of Student Services. Then, get in touch with your parent school to let them know about the issue. They will update your student record, after which you can log back into Student Services and confirm that the updated details are correct. 

Step 6: Fee Payment 

On this screen, you confirm whether the University has the correct information about how your tuition fees will be paid. You are not being asked to pay your fees as part of this step. 

Your fees are affected by your programme of study, so please ensure that you complete the previous step before you complete this one. If you try to complete Step 5 after Step 6, you will encounter a system error that will stop you from completing registration. 

Check that the correct fee is showing at the top of the page, then check the details under the section that matches the way your fees will be paid. If both are correct, you should be able to proceed by clicking the Continue button at the bottom of the page. If any of the details are wrong, please contact our Fees team for assistance. You can reach them by email on UGFees@leeds.ac.uk if you are an undergraduate student, or at PGFees@leeds.ac.uk if you are a postgraduate student. 

If you are paying your own fees and wish to pay in full, the University’s online payment system is linked on this page. If you click the Make Online Payment button under the section How to Pay Tuition Fees Immediately, you will be taken to an external page where you can make the payment. The University uses a company called Flywire to process the fee payments and there are various ways to pay. 

If you are paying by debit or credit card, then payment is quick and the payment will show on your account within a few hours. If you are paying by bank transfer, the payment can take a few days for the payment to be processed and added to your account, so please allow up to five working days for this to appear on the registration system. If the payment is still not displayed after that, please contact the Fees team for assistance.  

If you wish to pay in instalments but don’t yet have an instalment plan in place, you can set one up by clicking the Complete Instalment Plan button in the Instalments section and filling out the linked form. Please choose the instalment plan that suits you best. Some instalment plans will require immediate payment of the first 50% of the tuition fees to enable you to complete registration. 

If your fees are fully paid with a tuition fee loan, scholarship or sponsorship, then you do not have to make further arrangements to pay tuition fees. Please scroll to the bottom of the page and press the continue button. 

If you are partially funded by a tuition fee loan, sponsorship, or scholarship, and are therefore paying your own fees, you must make your payment before you can complete this step of online registration. In either case, this can be the full fee, or a portion of it if you have an instalment plan.  

Remember that if you need to leave the registration system at this step and wait for an update, you will still need to log back in and complete Steps 6 and 7 once you’re able to do so. You won’t be fully registered until every step is complete and you can see your registration certificate. 

Step 7: Declaration 

On this screen, you confirm that the information you have provided so far is correct and finalise your registration. You cannot complete this step until you have completed the other six steps. 

You will find a summary of your answers from previous steps taking up the top half of the page. Check that these are accurate and, if any are not, return to the step where you gave those answers and correct them. 

To complete this step, you must click the checkbox at the bottom left-hand side of the screen. By doing so, you are confirming that the answers you gave in earlier steps are all accurate, and that you agree to the University’s Student Contract and Privacy Policy. There are links to these documents toward the bottom of the page. You cannot become a student of the University of Leeds without agreeing to them. 

Once you have clicked the checkbox, you only need to click the Continue button underneath it to complete your registration. 

Registration Certificate 

Once you have completed your registration, you will no longer be able to see the Registration Checklist. Instead, you will see your Registration Certificate, which confirms that you have completed the process. 

This certificate is solely for your benefit, to assure you that you have completed the form. It cannot be used as proof of registration for third parties like sponsors and local government. For that, you would require a Registration Status Certificate, which you can request using an online form available on the student website. 

If you are beginning a new course with the University, you may also have to complete the online identity check before you are considered fully registered. The registration system cannot tell you whether this applies to you, but the form to submit an identity check is linked from the Registration Certificate toward the top of the section Your Next Steps.

Studies
