Check into a teaching session on campus
You must check in to each session so we can record your attendance and support you during your studies.
It’s important to do this as we can’t amend your attendance record retrospectively.
Your check in is matched to your individual timetable.
How to check in
- Download the UniLeeds app for Apple or download the UniLeeds app for Android.
- Enable the app to access your phone camera.
- Click on the ‘Check-in’ tile, select ‘Scan here’ and scan the QR code on the ‘Great to see you’ posters in each teaching space. If you have back-to-back sessions in the same room, you will need to scan the code for each timetabled session.
- If you forget to check in, there is no poster, or you can’t check in by phone, make sure you fill out a web check-in form by 11pm on the day of your session. If there is no poster or you can’t check in by phone, please tell us which room was affected – email Attendance Monitoring: sopam@leeds.ac.uk. If you have persistent issues with scanning QR codes using the app, please log a ticket with IT. If your phone is incompatible with the UniLeeds app, please log a ticket with IT and use the web check-in form by 11am the same day for all your teaching sessions.
- If you have permission to attend an alternative teaching activity in a different room which is not on your timetable, or you have a last minute room change, do not scan the QR code. Please use the web check-in form by 11pm the same day and provide this as the reason.
The app will remember 28 days of QR check-ins. It won’t remember any check-ins you did with the web check-in form.

When to check in
You can check in no more than 10 minutes before the session starts, any time during the session, and no more than 10 minutes afterwards.
If you check in outside of these times using a QR code, your QR code scan may appear on your check-in history but it will not show on your attendance record.
What to do if you can’t attend a session
Make sure you submit an absence request if you are unable to attend a session (even if you have already told your tutor). You must do this by 11pm on the Sunday of same week as the session occurred.

Where to find absence requests in Minerva
- Go to the ‘My Leeds’ page and ‘Tools and Other University Systems’.
- Click the link to ‘Student Services’ and log in.
- Select the ‘Registration and Student Records’ tab and then ‘Absence Notification’.

What to do if there is a clash in your timetable
Speak to your School about managing the clash.
Until the clash is resolved, you must submit an absence request in Minerva for the session you cannot attend.
