Turing Scheme application process and documents required for payments

The Turing Scheme offers a generous non-repayable funding opportunity. However, you must meet specific requirements to receive and keep funding. Details on paperwork and payment timelines are provided below.  

 

Application Process

  1. Apply for your placement through the activity area that supports your international activity 

The *Activity Leads from each of the activity areas will forward the placement details of eligible and selected participants to the Turing team. Application forms will be sent out to participants’ Leeds email accounts. It is the student's responsibility to submit the application form by the given deadline. Students will have an opportunity to declare eligibility for the Underrepresented Backgrounds Grant on the form (if applicable).   

Please note that funding is limited. If there are more applicants than funding available, you will receive further information about the selection process from the relevant Activity Lead.  

*Activity Leads manage your activity area. There are 6 activity areas funded by the Turing Scheme in the 2024-25 academic year: Study Abroad, Work Placements, Postgraduate Research, Experiential Learning, Summer Schools and Medical Electives. The contact details of each Activity Lead can be found at the bottom of this webpage.

  1. Complete the risk assessment process relevant for your international activity

You will be advised by your Activity Lead (not the Turing team) about the risk assessment process you need to follow for your international placement. If you have any questions about this process, please contact your Activity Lead.  

Please engage with the risk assessment process early as your Activity Lead may request that you make amendments before they can complete the risk assessment review. Your risk assessment review must be complete before the start of your placement to receive and retain your Turing grant. 

  1. Submit the Turing Scheme application form and declare your eligibility for the Underrepresented Background grant (if applicable) 

Eligible and selected participants will receive an application form via email from the Turing Scheme team. 

On the application form, you will be asked to provide your placement dates. These dates should be between 1st of September 2024 and 31st of August 2025. Your placement can take place outside of this timeframe (i.e., start before 1st of September 2024 and 31st of August 2025) but dates outside of this timeframe will not be funded by the Turing Scheme.  
 
If you do not know your exact dates, please provide provisional dates and contact our team via email at TuringScheme@leeds.ac.uk if your dates change. Your host institution will need to confirm your placement dates at the end of your placement by signing a Certificate of Attendance. If your actual placement duration (as confirmed on your Certificate of Attendance) is significantly longer than your provisional dates, you may not receive funding for the additional dates that extend beyond your provisional placement duration. If your actual placement duration (as confirmed on your Certificate of Attendance) is significantly shorter than your provisional dates, you may be required to make a repayment to the Turing Scheme. If that is a significant amount, the University will support you to pay it back in manageable instalments.

  1. Review and accept the terms and conditions of your Turing Scheme grant, as stated on your Grant Agreement   

Provided that your Turing Scheme application is successful, you will receive a personalised Grant Agreement via email, please make sure that you read the details of this document carefully, specifically looking at your start and end of placement dates, before accepting the terms and conditions. If your placement details change after you have submitted your terms and conditions form, please inform the Turing team as soon as possible so that your Turing record can be updated.  

  1. Upload your bank details to Minerva   

Please upload your bank details as soon as you receive your Turing Scheme Grant Agreement so that your payments can be made on time. 

  1. Upload your Proof of Arrival documentation 

Acceptable documentation includes boarding passes, or a letter signed by your host institution to confirm your arrival. If submitting a letter, please use this template. Please keep hold of your boarding passes as we may request this evidence from you later.   

Your Proof of Arrival must contain all 3 of the following details:  
(1) your full name 
(2) date of arrival  
(3) name of host country or institution 

  1. Upload your Proof of Travel Costs (applicable only to participants in receipt of Underrepresented Backgrounds funding)  

All Turing participants in receipt of the Underrepresented Backgrounds (URB) Grant must evidence they have spent their Turing Travel Grant fully on one return journey from their home to the host destination.  
 
The return journey can include transfers from the home to the airport (or travel hub) and from the travel hub to the host destination. Transfers include trains, buses, taxis, and any other reasonable means of travel.   

Example: If you are entitled to receive a £250 Travel Grant from the Turing Scheme, you will be asked to evidence that you have spent a minimum of £250 on travel between your home and host destinations.  

Please keep hold of all your booking confirmations, receipts, invoices and tickets as you will be asked to submit these as evidence. All evidence must clearly show your full name and the costs you have incurred (i.e., how much you have spent on travel). 

Documents Required for Payments

The section below explains all the necessary documentation that needs to be submitted prior to each Turing payment.  

You must be signed into your University of Leeds email account to access all Turing Scheme forms.  

Please provide your correct Student ID number on all Turing Scheme forms. Your form responses will not be received if your ID number is incorrect. Please double check the number on your University of Leeds ID card before submitting each form.  

Start of Placement

The Turing Scheme application form and personal Grant Agreement discussed below will be sent directly to eligible participants’ Leeds email account.

Travel Grant (applicable only to participants from underrepresented backgrounds) 

To receive your Travel Grant, you must have:  

  1. Completed the Turing Scheme application form   

  1. Agreed to the terms and conditions of your Grant Agreement   

  1. Uploaded Proof of Travel costs  

For students on placements shorter than 56 days, the Travel Grant will be paid before the placement start date where possible. For students on longer placements, the Travel Grant will usually be paid together with your first Cost of Living instalment.   

First Cost of Living grant (70%) 

To receive your first Cost of Living grant, you must: 

  1. Complete the Turing Scheme application form 

  1. Agree to the terms and conditions of your Grant Agreement 

  1. Submit a satisfactory risk assessment 
    For students on placements longer than 56 days, your risk assessment review must be complete before your payment can be processed. 

  1. Upload Proof of Arrival

For students on placements shorter than 56 days, the first Cost of Living instalment will be paid will be paid before the placement start date where possible. Please remember to submit your Proof of Arrival once you have arrived in your host country to keep your Turing grant.   

End of Placement

Final Cost of Living grant (30%) 

To receive your final Cost of Living instalment, you must:  

  1. Submit Certificate of Attendance [PDF]  

Please ask a member of staff from your host institution to tick, sign, date and stamp this Certificate of Attendance. 

IMPORTANT: Please read carefully 

Certificates of Attendance must be signed no earlier than one week before the end of your placement.   

The deadline for submitting your Certificate of Attendance is two weeks after the end of your placement. If your placement ends after 10th August, you must submit your Certificate of Attendance by 24th August 2025. This means that all students must submit their Certificate of Attendance no later than 24th August 2025. Please refer to your Turing Scheme Grant Agreement if you are unsure about the end date of your placement.      

It is your responsibility to have your Certificate of Attendance signed by your host institution before you leave your host country. 

It is your responsibility to check that the dates on your certificate are correct before uploading them to the form above. The start date should be the date you started your placement in-person, including orientation period if applicable. The end date should be the date of your final exam, assignment or class. If you travel to your host country before the start of your placement, or you decide to stay in your host country after your placement has finished, these dates should not be included on your Certificate of Attendance.  

  1. Upload additional evidence of travel costs (applicable only to participants in receipt of Underrepresented Backgrounds funding).

If you have additional evidence of travel costs, e.g., because you uploaded a one-way ticket at the start of your placement, please upload evidence for your return journey. 

  1. Agree to the Final Grant Confirmation and submit the Turing Feedback form   

Your Final Grant Confirmation will be sent to you via email within 3 weeks of submitting your Certificate of Attendance.  There will be a link to the Turing Feedback form on your Final Grant Confirmation. 

If you miss the deadline for submitting your end of placement paperwork, you may be required to repay your Turing grant in full.
